Recent Email Troubles

Wednesday, August 20th, 2008

I wanted to alert you that there may have been a recent email-sending issue from Invotrak, and you should double-check that invoices you sent using the Invotrak contact form went out properly.  The issue appears to only be for users who sent emails recently, and shouldn’t affect any automated emails (like reminders).

I believe we have the issue fixed now, but please let us know if you experience any other issues (or have any questions).

Getting the Word Out

Wednesday, August 13th, 2008

Since launching our latest major updates to the Invotrak site, we’ve been trying to get the word out. So far, a number of reviews have come out that have been very positive about the site, and I’m pleased to excerpt a few of them here:

There are a variety of email options which I like – you can customize the email to make it more personal to the specific client. Invotrak also offers reports which are quite nice looking.” – Allen Stern, CenterNetworks

…we have discovered a web application that is user friendly and informative, that application is Invotrak by Draconis Software. As a freelance writer I was able to utilize the software for an experiment in keeping track of my personal invoicing and time tracking needs, and I found this application to stand heads and shoulders above the others that I have used.Luis Sandoval, Crenk

As a small up-and-coming web service, we really rely on our users to help spread the word. If you like Invotrak, please tell other people about it! And if you aren’t thrilled with Invotrak, for whatever reason, tell us so we can make it better!

There were also a few other places we’ve been popping up, including:

Did I miss anything? Any thoughts on how we might further get the word out about Invotrak?

Creating invoices from timesheet entries

Friday, July 25th, 2008

We’ve gotten a lot of feedback from users about the latest changes to invotrak.  Many people have been very impressed (“Bravo!” wrote one enthusiastic invotraker), and a few have offered some suggestions for improvements.  So, not ones to sit around idly by, we’ve added a couple updates.

The biggest one is the ability to create an invoice from a selection of timesheet entries.  In the past, you had to create an invoice first, then attach entries to it as line items.  Now, just select the entries you want to invoice for, select New Invoice for the client to send it to, and you’re on your way!

There’s a couple of other minor changes we’ve made as well.  Right now, I’m working on some additional screencasts to illustrate all the great new features of invotrak, and I hope to have these available soon.  In the meantime, be sure to let us know what you think!

Invotrak goes 2.0!

Thursday, July 17th, 2008

We’ve just put the finishing touches on our next major update to invotrak! If you’re already an invotrak user, you’ll notice quite a few changes, not least of which is the interface update. I’ll give a quick rundown of the changes.

First, we’ve updated invotrak’s interface to give it a much cleaner, more elegant feel. We’ve changed the navigation around a bit too, which we hope you’ll find intuitive while making it easy to move between sections.

Second, we’ve added a whole bunch of new features. Some of the most interesting:

  • Create invoices! Now, you can either upload an existing invoice you create yourself, or create an invoice using invotrak. You can even assign items from you (or your employee’s) timesheets as line items on your invoice. It should make the process much easier.
  • See reports! It’s now very easy to see interesting reports on your billings. See how your business is doing in a particular month, quarter, or year.
  • Lots more! There’s a ton of interesting other little items we’ve added (clock in/out of timesheet entries, for instance) that makes invotrak even easier and more powerful to use.

Another major change to invotrak involves the advertising formula. There are no longer any ads on invotrak. Instead, we’ve replaced it with a simple subscription model that lets you pay for what you need.

We’ve been working very hard to put together this new invotrak, and we hope you like it. But of course, we rely on your feedback to let us know how we’re doing. So let us know in the comments!

New features: timesheets, logins and more!

Thursday, February 28th, 2008

It’s been a while since we last updated this blog, but it’s been for a good reason: new features! We’ve been working on some really big things for the site that we think you’re going to love. So what’s changed? For one, you can now track Timesheets! On top of that, there’s the ability for multiple, linked accounts. And more!

Partial Payments & Notifications

Some pretty big changes in invotrak have just gone live, including two new features: partial payment support and automated notifications! In addition, a slew of minor bugs were fixed, and we’re trying some new ad placements.

Searching Now Available

Wednesday, November 7th, 2007

Magnifying GlassWe’ve just finished a new feature for invotrak: searching! You can now quickly locate invoices you’ve recorded by typing in keywords on the invoice listing page. It’s especially helpful for users who have hundreds of invoices to keep track of.

One helpful tip: consider recording details of the work for each of your invoices inside the comments field when recording an invoice. Then, if you ever have a question about when a particular task was completed and billed to your client, just type it into the search box. For my clients, I typically send a status report along with my invoice, so combining the two in invotrak makes a lot of sense.

In addition to the search, a bug was also fixed that prevented users from using the email feature of invotrak when recording an invoice. We owe a big thanks to the users who helped track it down, and appreciate all the feedback you all have given us. Keep it coming!

Moving to New Servers

Tuesday, October 23rd, 2007

ScrewdriverWith the increasing popularity of invotrak, we’ve had to deal with scaling invotrak up. One of the first things we had to do was rethink our database setup: luckily we were able to make some fundamental changes that sped it up quite a bit. But unfortunately, we’re now at a point where we need to start throwing some bigger hardware around. So, this weekend, we’re moving invotrak to new servers!

What this means is two things: during the move, you will not be able to access invotrak. The bottleneck is not with the move (that shouldn’t take more than a few minutes), but rather with updating the address. When you type “www.invotrak.com” into your browser, your computer looks up the actual address of the server where the site is running (think of it as a telephone book: you know the name of the person you would like to call, but you need to match that name with the actual telephone number – same principal). The problem here, though, is the telephone book can take some time to fully update.

The move will be happening this Saturday night (October 27th), at 10pm EST or thereabouts. This should give it plenty of time to update for Monday.

Update 1: The move has been made and the DNS servers should update within the next four hours or so.

Update 2: Looks like things should be back to normal now in invotrak’s new home!  Let us know if you have any problems.

More Currencies!

Wednesday, October 10th, 2007

GlobeJust added a whole bunch of new currencies, based on user requests. It’s very exciting to see so many users from all around the world using invotrak! Users can now track their invoices in the currency of their choice, which can be set on the invotrak Settings page (just login and click the Settings tab at the top of the screen).

The next step is to update invotrak to support multiple simultaneous currencies (i.e. allowing you to set the currency for each invoice, rather than for all invoices simultaneously). Ideally, I’d like to also allow for exchange rates, so the stats box on the right of the Invoice Listings page shows total (converted) values. But, unfortunately, these aren’t terribly easy to implement. Unless there are users out there that are burning to have these kinds of features implemented, I’ll de-prioritize it for the time being so we can get other things implemented (like searching).

As always, keep your suggestions coming!
